Zoom Tasks, a new AI-powered task management tool integrated into Zoom Workplace, has been formally released by Zoom. With the help of its AI Companion assistant, customers can now track, manage, and complete activities with Zoom’s AI-first open work platform, a major feature.

To increase company efficiency, Zoom has introduced Zoom Tasks, an AI-powered task and project management tool.

Now that Zoom Tasks is widely accessible, users may combine to-do lists from emails, Zoom Team Chat, meetings, and other sources into a single, user-friendly interface. The new tool, according to Zoom, has agentic AI capabilities that can surface, organize, and urge task completion to help users manage tasks more effectively.

Zoom Tasks, a part of Zoom Workplace, can automatically recognize action items from users’ chat conversations and meeting summaries throughout the day. With the user’s approval and evaluation, it can even help with tasks that need to be completed. This feature makes sure teams have the knowledge they need to stay organized, which enhances teamwork and guarantees better project execution.

Zoom is eager to emphasize how agentic AI has the potential to revolutionize project and task management. According to Zoom, AI Companion makes sure customers never forget a task by automatically recognizing action items from meetings (and soon, emails and chats). It eliminates clutter and enables users to examine, accept, and assign tasks by combining everything into a single tab.

According to Zoom, AI Companion goes above and above by assisting users in finishing activities. It motivates users to take action by suggesting the next step, whether it be sending a message, setting up a meeting, or writing a document.

According to Zoom, AI Companion makes users’ workdays more productive by helping them remain on top of assignments. It keeps track of action items during consecutive meetings, saving users the trouble. Users merely need to look at their Tasks tab to see everything that has been allocated to them at the end of the day.

AI Companion saves users time by rapidly compiling their assignments and drafting a response when they request status updates. Zoom explains that AI Companion summarizes messages, identifies action items, and recommends next steps when a user has too many tasks. To help users save time on research and brainstorming while guaranteeing that their message is appealing and clear, it even prepares responses.

An administrator or user can begin tracking and managing their tasks as soon as they enable tasks in Zoom Workplace. Users can evaluate their assigned tasks under the “Recommended Tasks” section at the end of the day or after meetings, and then click “Accept” to add them to their My Tasks list.

Users can click the AI Companion star icon within a task to see suggested actions. To avoid leaving chats marked as unread, they can also right-click on items in Team Chat or emails to add them to their task list.

Clicking the Add button allows you to add manual tasks, and selecting “View details” provides further information, including task source links. Zoom confirms that Tasks provides a convenient way to manage all of a user’s to-dos in one place, even in the absence of AI Companion.

Based on the federated AI architecture of Zoom AI Companion, which makes use of both third-party and proprietary models, Zoom Tasks offers autonomous task handling capabilities designed to cut down on follow-up time. “Zoom Tasks is our AI-first task management solution built right into Zoom Workplace, with AI Companion helping you identify, manage, and complete your to-do list faster,” the company stated.

Zoom emphasized the productivity improvements from this integration, pointing out that a third of leaders follow up with coworkers on project progress for at least an hour per week, which can result in a productivity loss of $16,000 annually for each manager. Zoom Tasks seeks to bridge the disparity.

An Intuitive and Centralized User Experience

With Zoom Tasks, users can assign action items, monitor progress, and evaluate and accept AI-generated task recommendations—all from within the Zoom UI. Zoom said, “At the end of the day, just go to your Tasks tab to see all the action items that have been assigned to you.”

Additionally, users who are overloaded with information or returning from vacation can ask AI Companion to extract tasks from messages and summarize chat threads. According to Zoom, depending on the situation, the assistant can then suggest a course of action, such as scheduling meetings, composing messages, or drafting.

How to Begin Using Zoom Tasks

Eligible paid Zoom Workplace plans come with Zoom Tasks. Users must allow AI Companion task settings in their account and update their Zoom Workplace app to version 6.4.3 or higher to use it. The Tasks tab can be accessed from the top navigation bar if it is activated.

Additionally, Zoom provides tips on how to make the most of the platform:

  • To examine suggested actions, look at the “Recommended tasks” section.
  • For suggested task completions, use the AI Companion icon.
  • Tasks can be added manually or directly from emails and chats.
  • For improved context, edit tasks to add notes or source links.

Even while Zoom Tasks is designed to work best with AI Companion, users may still take advantage of the task management tools by using it as a central hub for all of their to-do lists.
